Top 3 Key Takeaways from RQA 2025 Conference
Contributed by: Kate Peters, Director, Quality Assurance
Last week, the RQA International QA Conference in Belfast provided three days of roundtables, keynotes and networking opportunities focused on exploring real-world approaches to quality. The regulated industries landscape is evolving rapidly, with new guidance and shifting regulatory expectations challenging organizations to rethink traditional approaches to quality and compliance. At this year’s conference, three critical themes emerged that are reshaping how industry leaders approach quality management systems and regulatory compliance.
1. Pragmatism Over Perfection: A Risk-Based Approach to Compliance
The industry is shifting toward practical, risk-based compliance strategies that prioritize meaningful quality outcomes over documentation perfection. Rather than pursuing flawlessness, organizations are focusing on the big picture, ensuring their systems effectively protect product quality and patient safety. This pragmatic approach recognizes that compliance isn’t about checking every box perfectly but about implementing robust controls where they matter most. Forward-thinking companies are streamlining their processes, reducing unnecessary complexity, and allocating resources to activities that truly impact quality and regulatory compliance.
2. Implementing ICH E6 (R3): Adapting Quality Systems for Modern Clinical Trials
With the recent updates to ICH E6 (R3) GCP guidelines, organizations face the challenge of integrating new expectations into existing quality frameworks. The guidance emphasizes the use of proportionate approaches to clinical trial oversight, quality management and risk-based monitoring. Leading organizations are proactively evaluating their current systems, identifying gaps and critical-to-quality (CtQ) factors while developing strategic implementation plans that align with both the spirit and letter of the revised guidance. Success requires thoughtful adjustments to existing Quality Management Systems, striking a balance between regulatory compliance and operational efficiency while maintaining study quality and participant protection.
3. Quality by Design & Fit-for-Purpose Systems: Right-Sizing Your QMS
One size does not fit all in quality management. ICH E8 (R1) and the broader Quality by Design principles emphasize that quality must be built into operations from the outset , rather than being inspected or documented after the fact. Quality systems must be appropriately scaled, designed, and tailored to the specific activities, risks and regulatory requirements of each organization.
A fit-for-purpose QMS isn’t about implementing the most comprehensive system possible; it’s about implementing the right system. Organizations are increasingly evaluating whether their quality frameworks align with their operational scope, ensure appropriate and proportional oversight without creating unnecessary burdens, and remain flexible enough to support business growth while maintaining regulatory compliance. This tailored approach helps organizations avoid the pitfalls of both over-engineered systems that bog down operations and under-developed systems that expose the organization to compliance risks.
Moving Toward Intelligent Risk-Based Systems
These three themes represent a maturation of quality thinking in our industry, moving from rigid, one-size-fits-all approaches toward intelligent, risk-based systems that deliver better outcomes with greater efficiency. As regulatory expectations continue to evolve, organizations that adopt a pragmatic approach, stay current with guidance updates and right-size their quality systems will be best positioned for sustainable success.
The path forward requires thoughtful evaluation of current practices, willingness to adapt and commitment to building quality systems that serve their intended purpose: protecting patients, ensuring product quality and maintaining regulatory compliance in the most effective manner possible.
